We appreciate your pilot service contributions and want to ensure you have clarity on any expenses you may incur.

Reimbursable Expenses

Pilots are reimbursed for the following expenses that are attributable directly to the Services performed under their Agreement:

Accommodation on overnight or multi-day trips subject to the maximums outlined below.

Ground transportation such as rental cars, taxis, or ride-share to or from the base of operation on trips away from base.

Commercial airfare to or from a base city.

Aircraft fuel, FBO and airport fees if purchased on behalf of a client.

Food and consumables on trips requiring more than 8 hours duty time away from base are reimbursed at an hourly per diem rate outlined below. Per diem expenses are calculated hourly from the time you arrive at the starting fixed-base to perform services to trip completion.

Other direct expenses incurred with approval from our management team.

Reimbursement Rates

Rates are non-negotiable and subject to change without notice. Current retail rates are available by visiting aerocitygroup.com/rates.

Refer to our Turbine Training and Rental Agreement and Non-Turbine Training and Rental Agreement for complete terms and conditions on services conducted. 

All activity must be checked in on the appropriate dispatch portal within 48 hours of trip completion with all accompanying receipts. Please fill out the check-in form completely and accurately. All activity is subject to standard billing procedures. Please include per diem calculations in check-ins as applicable. For contract pilots, invoices must be submitted within 72 hours of trip completion and a valid W9 form must be on file prior to being compensated.
